Chief Operating Officer

We are seeking a highly experienced, execution-focused Chief Operating Officer (COO). Your primary mission is to optimize operations, build a scalable middle-management layer out of existing supervisor team, and fully institutionalize processes so the business runs flawlessly, independent of the founder.

Job Responsibilities

  • Operational Optimization & Accuracy: Audit, streamline, and protect our core business formation and compliance pipelines. Ensure a 100% success rate on filing deadlines and zero service gaps.
  • Team Leadership & Structure: Directly manage, mentor, and evaluate our existing frontline supervisors. Identify internal promotion opportunities to formalize the management layer, or make strategic outside hires if necessary.
  • Exit Readiness & Documentation: Document all internal standard operating procedures (SOPs) into a clean, repeatable playbook. Prepare operational data, customer retention metrics, and compliance logs for buyer due diligence.
  • Technology Implementation: Oversee our internal software systems and project management tools to automate compliance tracking, reminders, and renewals wherever possible.
  • Foundational De-risking: Take over 100% of daily operations within the first 90 days, successfully transitioning the founder out of day-to-day management.

Qualifications and Key Competencies

  • Proven Exit/M&A Experience: Must have played a key leadership role in successfully preparing and transitioning a small-to-medium business through a sale, merger, or acquisition.
  • Industry Background: Deep experience in high-volume, process-driven service sectors (e.g., LegalTech, FinTech, Corporate Compliance, SaaS, or B2B professional services). You must understand the high stakes of regulatory deadlines.
  • Small Business Agility: Experience working within small, lean teams. You should know how to build corporate-level structure without creating heavy bureaucratic slow-downs.
  • People Developer: A track record of turning frontline supervisors into high- performing managers. High emotional intelligence to keep the team motivated and stable during an acquisition year.
  • Data & Tech-Driven: Highly analytical mindset with experience utilizing modern CRMs, ticketing systems, and automated task-management tools to drive efficiency.
